Required Editing
Capitalization:
Many catalogs and handbooks capitalize all or some of their headings. Any headings that are fully capitalized need to be changed to regular first letter capitalization, unless the letters should always be capitalized, such as with acronyms like FERPA.
If headings are capitalized, edit to capitalize first letter only.
Individual Heading Changes
Method 1
- Highlight the Heading
- Hold Shift and press F3
- Toggle the text between all CAPS, lowercase, and first letter capitalization
- Manually change prepositions, conjunctions, definite and indefinite articles (ex. in, and, the, a/an)
Method 2
- Highlight the Heading
- On the Home Tab, select dropdown of the "Aa" in the Font section of the Toolbar
- Select "Capitalize Each Word"
- Manually change prepositions, conjunctions, definite and indefinite articles (ex. in, and, the, a/an)
Bulk Heading Changes:
If most headings require edits, change in bulk after headings are applied
- In the Style Pane select Heading level (1-4) using dropdown arrow to right
- Choose "Select All"
- Follow one of the steps above to change from all Capitalization to first letter capitalization. You will have to do this for each Heading (1-4)
- Manually change prepositions, conjunctions, definite and indefinite articles (ex. in, and, the, a/an)
Course Consistency: Course display must be consistent throughout the catalog
Spacing between Subject Code and Course Number
- Make the space, dashes, or no space between subject code and course number consistent across all courses (i.e. BIO100 or BIO-100 would be changed to BIO 100)
Adding Subject Code before the Course Number
- A subject code must exist before a course number for each course listed i.e. (change BIO 100, 200 to BIO 100, BIO 200).
Multiple Course Numbers/Subject Codes:
When completing CSV File
- Even though courses often have separate course descriptions, multiple numbers or subject codes may be listed together on the same line
- (i.e. BIO 101/BIO 102, CHEM 200/CHEM 200L, ENG 101/LIT 110, BIO/ENV 215, etc.).
- If these courses are two separate courses, are not listed together in the course extract, and are not cross-listed, please place them on separate lines. Multiple courses cannot live on the same line. If the numbers are listed together in your course extract, please keep them on the same line.
- If you can only take one course and they are not cross listed, please add an “or” between the courses. (BIO 101 or BIO 102)
- If the courses are cross listed, please make sure the information is in the cross listed field of your course extract. Only one course number needs to be present for both to appear in the program requirements. Please remove the other subject code/number.
- ie. If BIO/ENV 215 are cross-listed, you can list as either BIO 215 or ENV 215 in program content
When completing Styling
- If you can only take one course and they are not cross listed, please add an “or” between the courses. (BIO 101 or BIO 102)
- If the courses are cross listed, please make sure the information is in the cross listed field of your course extract. Only one course number needs to be present for both to appear in the program requirements. Please remove the other subject code/number.
- ie. If BIO/ENV 215 are cross-listed, you can list as either BIO 215 or ENV 215 in program content

Certificates/Minors: If Minor and Certificate information exist in degree requirements consider separating them if they can be taken separately from the degree.
